Hi All,
The following deliverables are identified for my current engagement.
1. AS IS process maps
2. TO BE process maps
3. Requirement traceability matrix (business requirement, stakeholders’ requirements, business process matrix)
4. Analysis report (background, purpose, issues, opportunities, and recommendations for transitioning from AS-IS to TO-BE.)
5. Presentation slides (a summary of the analysis report)
Do we have any templates recommended to use for point 3. Analysis report (background, purpose, issues, opportunities, and recommendations for transitioning from AS-IS to TO-BE.)?

Hi Eve,
An ‘Analysis Report’ is in one sense an unusual artefact, not often called for so I doubt that there is a template or a worked example you could us – happy to be proved wrong on that, btw. On the other hand, a ‘report’ on the activities performed and value delivered is standard part of any engagement, so the format of an engagement review could be useful for you. More to the point, I think if you complete a Business Analysis Plan to the right level of detail, then the structure of the ‘Analysis report just follows the plan, with content written in the past tense (as opposed to the plan being in future tense0. Specifically for the recommendations for transitioning from current state tot future state, take a look at the Implementation Plan template on the CoE. Considerations include transition requirements, change impacts, change readiness assessment etc.

Hi Eve,
I believe the activities you are undertaking as part of this engagement is conducting a Gap Analysis and subsequently making recommendations for business process improvement. BACoE has an excel template for Gap Analysis which could be used as a base or reference. However, I am guessing the client is looking for a more formal written report based on the request for an ‘Analysis Report’.
I haven’t done a Gap Analysis report at BAPL but based on my experience elsewhere, for Gap Analysis, at the very minimum you could have following captured as part of a table or excel sheet format.
- Business Process name and/or identifier
- Business Requirement
- Desired Future State: Descriptive
- Current State: Descriptive
- Identified Gaps – Gap is a broad term encompassing issues, risks, limitations as well as opportunities. You could choose to split it as more than one columns.
- Action/Recommendations to close the gap
- Complexity (Ideal but can be optional)
- Priority (Ideal but can be optional)
If you want to go with a Word-based report, you could copy the shell of any existing BAPL template and include the above gap analysis fields as a table (landscape mode). This will also allow you to give a formal structure to the whole report by including these additional sections.
- Background
- Purpose: What is the purpose of the client commissioning a gap analysis.
- Next Steps: Recommendations and action plan in the above table address the remedial steps to close the gap at a business process level. As part of this section you could provide recommendations on what the next steps should be following the Gap analysis. You could suggest the client creates a roadmap for process improvement based on the Gap Analysis Report, outlining the specific actions, changes, and initiatives required to move from the AS-IS state to the TO-BE state. Creating the roadmap, which may include creation of an implementation plan, writing transition requirements etc may not be part of the current engagement. Confirm against your engagement objectives. The section should suggest how the client can put in practice the findings of the gap analysis report.
- Stakeholder Consultation
You could create a custom template using the above information as reference and review with your PM/sponsor of key decision-maker.
